How to Submit or Update Your Annual Disclosure via Kuali COI
Indiana University uses the Kuali Conflict of Interest (COI) disclosure system. This system allows employees to submit and update their disclosures annually or as needed. Once you submit your disclosure, it will be reviewed by your unit's assigned Unit Head, also known as a Unit Viewer. You can access a list of Unit Viewers by clicking on this link.
- Using your IU Network ID and password, log in to the Kuali COI-C Disclosure Form task in One.IU. Please note: the most compatible browser for the Kuali COI system is Google Chrome.
- Click the "Start" button to open your "My Disclosures" dashboard.
- Click the “Create Disclosure” button to create a new disclosure, OR click the “Update Disclosure” to update your disclosure.
- The form instructions and system prompts will guide you in completing your disclosure. Select ALL applicable roles (Researcher, University Employee, IU Health) to ensure the proper form sections populate. Note: The IU Health role is only for dually-appointed IU School of Medicine faculty.
- After submitting your disclosure, you will be redirected to your "My Disclosures" dashboard. Your status should reflect either "Up-to-Date" or "Submitted for Approval" in the status column.
- If your status correctly reflects your submission, close your browser to exit the Kuali COI system.
Delegate Feature in Kuali COI
The Kuali COI-C delegate functionality allows you to assign a delegate to have access and complete your disclosure on your behalf. The assigned delegate can edit your disclosure but they cannot submit. You are still required to submit your disclosure in Kuali COI-C.
- Open "Disclosures".
- Select "My Delegates".
- Select "Add Delegate".
- Type in the delegate's IU username and select "Add." The delegate(s) will receive an email notification stating that they now have permission to edit your disclosure.
- Use the trash can button to the user’s name to delete the delegate. The delegate will then be notified via email that they no longer have permission to edit your disclosure.
- Users are responsible for managing their own delegate permissions.
- Delegates cannot submit disclosures on behalf of their delegator. Individuals must review entries by their delegates and submit their own disclosures in the Kuali COI system.
- Select “Disclosures Delegated to Me” within “Disclosures” tab.
- Select the delegator for whom you want to make edits from the “My Delegators” drop-down menu.
- Select “Update Disclosure” to edit the current disclosure.
- Make all necessary changes to the disclosure and save when finished.
- When finished, select Notify Reporter and the reporter will be informed via email notification that their disclosure is ready for review and submission.
- View previous versions by selecting the “Action Date” for when the disclosure was updated.
- To remove yourself as a delegate, select the “Manage Delegates” tab, select “Users delegated to me” and select the trash can next to the reporter you want to remove. The reporter will be informed via email notification that you are no longer able to make changes to their disclosure.
